This Privacy Policy explains how Professional Recruiters Group ("PRG," "we," "us," or "our") collects, uses, shares, and protects information in connection with PRG Educational App — our substitute teacher staffing platform accessed at app.prgrecruiters.com (the "Services").

By using the Services, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the Services.

Some information PRG processes about substitutes, district staff, schools, and students on behalf of school district customers may be governed by separate written agreements (such as a Data Processing Agreement). Where those agreements conflict with this Privacy Policy, the agreements control.

1. Information We Collect

We collect information from you directly, automatically through your use of the Services, and from our school district customers and their staff.

Information you provide as a substitute teacher

When you apply, register, or maintain your profile as a substitute teacher, we collect:

  • Full name, mailing address, email, and mobile phone number
  • Employment and teaching history, certifications, and references
  • Subject area preferences, grade-level preferences, and availability
  • Hourly pay rate and compensation history on the platform
  • School and district preferences, and any districts you exclude
  • Documents you upload (resumes, certificates, identification documents, signed agreements)
  • Information about jobs you accept, decline, or are placed in

Information you provide as a district administrator, principal, or other school staff

  • Full name, work email, work phone, role or title
  • District, school, and building affiliation
  • Job orders you submit, including dates, subjects, grades, and pay rates
  • Notes about substitutes (e.g., approvals, exclusions, comments)

Information collected automatically

  • Device information (browser type, operating system, screen size)
  • IP address and approximate location derived from it
  • Pages and screens viewed, links clicked, time spent, and other usage events
  • Audit log records of administrative actions taken on the platform (who did what, when), used for security, accountability, and compliance
  • Authentication events, including magic link issuance, sign-in, and session activity
  • Service worker cache data and other browser storage used to support the Progressive Web App (PWA)

Information from school district customers

School districts that contract with PRG may upload or transmit information about their schools, principals, jobs, and approved substitutes. We process this information on the district's behalf in accordance with our agreement with them.

2. How We Use Information

We use the information we collect to:

  • Provide, operate, and improve the Services
  • Authenticate you using magic links sent by email and/or SMS
  • Match substitute teachers with available jobs and process job applications
  • Communicate with you about assignments, schedule changes, fills, and operational matters
  • Deliver content in the Lounge, including announcements, training documents, videos, and discount offers
  • Maintain audit logs and detect, investigate, and prevent fraud, abuse, security incidents, and policy violations
  • Generate aggregated, de-identified analytics to improve platform performance and reliability
  • Comply with legal obligations and enforce our agreements

3. How We Share Information & Sub-Processors

We share information in the following ways:

With school districts and their staff

Substitute profile information, application data, and job history are shared with the school district(s) you apply to or are placed with, and their authorized staff (e.g., principals at the assigned school).

With service providers (sub-processors)

We use the following third-party service providers to operate the Services. They access information only to perform services for us and are contractually required to protect it:

  • Internet Updaters — platform development, technical operations, and infrastructure administration
  • Supabase — database hosting, authentication infrastructure, and file storage
  • PortalPro Software — customer relationship management, workflow automation, and outbound email and SMS delivery
  • Mailgun — transactional email delivery (via PortalPro Software)
  • LeadConnector — SMS message delivery (via PortalPro Software)
  • Internet Updaters Task Engine — workflow automation between platform components
  • Application hosting provider — runs the web application
  • Google Maps — geocoding and display of school and district locations

For legal reasons

We may disclose information when required by law, subpoena, or legal process; to protect the rights, property, or safety of PRG, our users, or others; or to investigate suspected fraud or violations of our agreements.

In connection with a business transfer

If PRG is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction. Any successor will be bound by this Privacy Policy or will provide notice if practices change.

With your consent

We may share information in other ways with your consent or at your direction.

4. SMS / Text Message Communications

By providing your mobile phone number to PRG Educational App and using the Services, you expressly consent to receive automated text messages from us at that number. These messages may include:

  • Magic link authentication codes used to sign you in
  • Job notifications, assignment confirmations, and schedule changes
  • Operational and account-related communications

Message and data rates may apply. Message frequency varies depending on your activity on the platform.

Reply STOP to any text message to unsubscribe. Reply HELP for help. After you reply STOP, you will no longer receive SMS messages from us. Because SMS is one of our authentication delivery methods, opting out of SMS may affect your ability to sign in or receive timely job notifications; you can request email-only authentication by contacting support@prgrecruiters.com.

Consent to receive SMS is not a condition of any purchase or of using all features of the Services.

5. The Lounge & Third-Party Offers

The Services include a "Lounge" area where PRG makes announcements, training documents, videos, and discount offers from third-party vendors available to substitute teachers as an optional benefit.

PRG does not endorse, guarantee, or warrant any third-party product, service, or offer made available in the Lounge. Any interaction between you and a third-party vendor — including redemption of offers, purchases, or use of the vendor's services — is solely between you and that vendor and is governed by that vendor's own terms and privacy policies.

PRG does not currently receive compensation from third-party vendors whose offers appear in the Lounge. If this changes, we will update this Privacy Policy and disclose any such relationships as required by applicable law.

6. Cookies, Browser Storage & PWA

We use cookies and similar technologies (including localStorage, sessionStorage, and service workers) to:

  • Keep you signed in across pages and sessions
  • Remember your preferences and platform state
  • Cache application assets locally to enable offline support and faster page loads through our Progressive Web App (PWA)
  • Measure platform performance and reliability

We do not use advertising cookies or third-party behavioral tracking. You can clear browser storage and uninstall the PWA at any time through your browser or device settings.

7. Data Security

We use industry-standard administrative, technical, and physical safeguards designed to protect your information, including encryption in transit, encryption at rest for stored data, role-based access controls, row-level security at the database layer, and ongoing monitoring.

No system is perfectly secure. We cannot guarantee the absolute security of your information. You are responsible for keeping your email account and mobile phone secure, as both can be used to authenticate to the Services through magic links.

8. Data Retention

We retain your information for as long as reasonably necessary to provide the Services, comply with our legal obligations, resolve disputes, and enforce our agreements. Audit log records are retained for security and compliance purposes.

When information is no longer needed, we delete, anonymize, or aggregate it. Information held on behalf of a school district customer is retained and deleted in accordance with our agreement with that district.

9. Your Rights & Choices

Depending on your location and applicable law, you may have rights to:

  • Access the personal information we hold about you
  • Correct inaccurate or incomplete information
  • Request deletion of your information (subject to legal and operational limits, such as retention required for audit logs, tax records, or pending assignments)
  • Opt out of SMS messages (reply STOP)
  • Object to or restrict certain processing of your information
  • Request a portable copy of your information where required by law

10. Children's Privacy

The Services are intended for adults age 18 and older. We do not knowingly collect personal information directly from anyone under 18. If you believe a minor has provided information to us, please contact support@prgrecruiters.com and we will take appropriate action.

The Services are not designed for student use and do not collect student data directly from students. Any information about students that may appear in job descriptions or assignments is provided by school districts and is governed by the district's own policies and applicable laws, including the Family Educational Rights and Privacy Act (FERPA).

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last Updated" date at the top of this page. If we make material changes, we will provide additional notice through the Services or by email. Your continued use of the Services after the updated Privacy Policy takes effect constitutes acceptance of the changes.
